Bike Week and Parking

For Bike Week 2025 we are still extremely limited on our parking spots. With the ongoing construction we are even more limited when there are construction trucks on site. We kindly ask that you do not bring multiple cars, if possible, or make arrangements to park your additional cars off property at your expense.

As a reminder there is NO parking available at any time for any trailers, RV’s, boats or mobile homes or any of the like. It is your responsibility to find parking elsewhere for the week you are here. Any of these vehicles or any vehicle that does not have a TSR parking pass clearly displayed will be towed immediately at the owner’s expense.

Questions Answered

Owners:

The unofficial board meeting minutes were sent out, posted on Facebook, and uploaded to the website.  Many owners had questions for the Board, which were answered during the meeting; however, were not captured in depth in the minutes.  It is almost impossible to take the minutes, be engaged in the conversation, and manage the Zoom session.  As such, what follows is a summary of the discussion/s related to the questions submitted by owners.

Most of the questions pertained to the pool, with owners wanting to know what the timeline for completion is.  The short answer is that we don’t have a definitive timeline but we are close enough to speculate.  While this is not a guarantee of any sort, we think there is a reasonable chance it will be finished by the end of February or at least by spring.  The company is coming about in about two weeks to finish the work.  Once completed, it will be filled with water, but can’t be used for about one month.  This has something to do with the finish curing during this period.  Of course, there are a number of things that could impact this deadline.  The company can’t paint the pool during rain, for example.

The milestone inspection required us to replace the windows on the pool level and first floor.  Since the pool will be closed, we are trying to have the windows installed during this time period.  We believe everything is in place for this to happen, but as we’ve learned, there are any number of unexpected things that can happen that could impact the project, so just rest assured that we are doing everything we can to make all of this happen.

The other question/concern that was shared by owners concerns making reservations during highly popular weeks.  Currently, owners can submit their reservation request at 9:00 am, 365 days prior to the first day of their requested week.  Owners can use the online reservation form, send an email, or call the resort.  Regardless of the method, every request is time stamped and reservations are filled in a “first-come-first-served” manner.  The problem with this method is that a single owner could, for example, request 8 units for a single week.  Indeed, we have owners who have requested more than that for a single week.  Additionally, we are finding that some owners are doing this with no intention of staying.  Instead, they book the units and then rent them out.  This does not seem fair to other owners who may miss out on the opportunity to book the week.  With any possible solution, there is an argument that could be made that the solution is unfair to some.  As such, the Board is looking into the matter to figure out what the best solution will be.  No solution is going to make everyone happy, but we want to be as fair as possible to all owners while honoring what the resort has always been about – having an affordable vacation destination for owners and their families.  If you have any suggestions, feel free to email the Board secretary, who will pass on the suggestions to the rest of the Board.  We encourage owners to NOT debate this on Facebook as it will likely be a topic that will cause consternation and ultimately be unproductive.  Please give the Board some time to look into all options and consider any suggestions that owners may share.

Hurricane Milton

Safety is number one for our owners, guests, and employees! With that said, due to Hurricane Milton, there is a MANDATORY EVACUATION order starting at 8AM on Wednesday morning 10/09/2024 for all areas east of the Intercoastal Waterway (all of beachside) issued by the Volusia County Emergency Management. Because we are under the mandatory evacuation Tropic Shores will be closed until further notice starting at that time.
Bridges close once sustained winds of 39 mph are reached so those at the resort please respond as soon as possible because evacuation routes will be congested.

Room & Floor Requests

For some owners, it appears there is some confusion about the ability to request a specific room versus demand a specific room when staying at the resort.  As such, the Board would like to bring clarity to this matter.  With the exception of two weeks in February, the resort uses floating weeks rather than fixed weeks.  This gives owners the flexibility to book weeks any time their Prime or Preferred period permits.  When an owner books a week, there is absolutely no suggestion, promise, or guarantee that the owner will be able to pick a specific floor or room.  While our front desk accepts requests and does everything within their power to accommodate such a request, rooms are preassigned long before the Saturday when owners arrive.  As such, owners should not have any expectation that they will get the floor or room they request.  

Checking in early does not change the situation, especially during our peak season when all rooms have been preassigned.  So, feel free to request a specific floor and/or room, and our staff will do whatever it can to accommodate the request, but do not expect that this request will be fulfilled because often it simply can’t.

Additionally, some owners seem to misunderstand what the “waitlist” is for.  The waitlist does not mean you have priority over what room you get.  Calling at 8:00am does not move you ahead of others’ requests.  The waitlist is a simple courtesy to our owners so when their room is ready, the staff gives them a call so they can check in again prior to 4:00pm.  

A simple summary:  You can request a specific floor and/or room, and you can ask to be put on the waitlist.  The staff will do everything it can to accommodate your floor/room request, but there are no guarantees.  If you are on the waitlist and your room happens to become available prior to 4:00pm, then you get the benefit of being able to check into your room early, but rooms will not be released until they are completely cleaned and ready.

Finally, it has come to the attention of the Board that some owners have become so irate and belligerent because their request has not been met, their behavior toward our staff has ranged from rude to verbally abusive.  Our staff works hard to make our owner’s experience the best it can be.  The Board will not tolerate any sort of abuse of our staff.

2025 Bike Week

Owners wanting to book Bike Week for 2025 can call, email, or come in-person this Friday morning (March 1st 2024) 9am or after (not before as it will not be counted) and leave your name, phone #, owner# (if you have it), how many rooms you need and the size. You can pre-pay at that time, but it makes the process faster if you are pre-paid before Friday. Do NOT leave multiple calls and/or emails as only the 1st one will be put on the list. Our staff is happy to take your call, but please have patience with us as we are only 3 or 4 people compared to the number of owners calling in.
